APS (https://aps.aipt.orgis the online database that allows users to have the ability to track offers, incoming interns, LC contacts, status of outgoing U.S. students, and more. While APS is useful for any LC officer, it is essential for all Reception Coordinators as it has replaced the old reception database (affectionately called the Jimmy database after its creator Jimmy Clutter). This guide will help LC members to navigate and utilize the capabilities of the APS system.


Logging into APS:

Each Local Committee has a community log in account already set up; you can contact your Regional Coordinator directly for this information. After you log in using your LC account, you should confirm that you are listed as an officer by going to the "All Things Local" -> View your LC's contacts -> Add contact. As the APS database contains some sensitive information, please be careful with the LC account and only provide it to the necessary officers.

Once you log in, you will be brought to a homepage describing all the different areas within APS that you can use. At the top of the page, you will find the tabs All Things Local and Incoming Interns, which are described in detail below.

Using APS: All Things Local

All Things Local provides utilities that are relevant to managing your local committee, such as:
  • Viewing the status of applications submitted by students at your university to go on an IAESTE internship.
  • Manage the list of officer contacts and login accounts for your LC.
  • Search for officer contacts at other IAESTE LCs.

Search/View Local Applicant Status

This section allows you to view the status of applications submitted by students at your university to go on an IAESTE internship.  You can manipulate the program year field to see applicants from this year or previous years. While this information is useful, please note that the status of the members listed may change frequently during the IAESTE Matching and Placement process. This process begins in early February and lasts through August.

View your LC's contacts
This section allows you to view and update your officers' and faculty advisor contact information. Please keep this information current as officers come and go.

National LC Contact Directory
This directory allows you to conduct officer searches by LC, officer position, region, etc. Keep in mind, however, that APS will only pull up officers who are currently registered in the system, which is why keeping your contacts updated is critical (see above). If you are unable to locate an officer you can also consult the LC Resource Page or contact your Regional Coordinator.

Using APS: Incoming Interns

Incoming Interns provides utilities to assist your local committee with hosting interns and providing reception, such as:
  • View the current status of the job offers your LC raised locally.
  • View incoming intern arrival information such as date of arrival and flight information. 
  • Check on the status of your finder's fees.
  • View IAESTE Reserved interns in your area and request their contact information.

Incoming Intern
 Arrival Information 
This section will allow you to see the current status of jobs your LC has raised and get the latest information on when, where, and how your international interns are arriving to your school. Please note that APS will be the exclusive means by which the National Office informs LC Reception Coordinators of the travel plans for your incoming interns. Please verify that your LC Reception Committee is well versed in APS, especially this feature.

Finder's Fees Status
This section will allow you to check the status of your finder's fees. Finder's fees are issued at $100 per offer and should be utilized to fund social and cultural activities with your intern.

See Reserved Incoming Interns
Reserved interns are interns that have negotiated their own employment in the U.S. and use IAESTE to handle visa and other procedures.  While you are not required to provide airport pick up or housing support for reserved interns, we hope that you will include them in the social and cultural activities you plan for your other IAESTE interns. By entering your state and region in the search engine, you will be able to see how many reserved IAESTE interns. Due to privacy concerns, the actual contact information is not listed; however, simply toggle the boxes of the interns you would like to contact and hit the "Request Contact Information" button at the bottom. The National Office will then e-mail you the necessary information so you can get in touch with the interns.

Additional Resources and Help

All LC members are sent their log in information individually, but you can always contact your Regional Coordinator for your log in as well. If you have any questions regarding the use of APS, please contact your Regional Coordinator.
